Portfolio Payments
This tutorial page will instruct you on using the Accounts level Portfolio Payments feature. For iLeasePro general navigation instructions, please visit the QuickStart General Navigation page.
PLEASE NOTE: The Portfolio Payment feature is only for Intacct Users at this time.
Portfolio Payments Help Page Summary
The Portfolio Payments feature allows the account users to view, export and/or upload the monthly rent payments of the leases in the portfolio. When the upload option is selected, the monthly payments will be uploaded into the Sage Intacct Accounts Payable tables and viewable from the AP Bill page.

Vendor Dimensions must be successfully downloaded from Sage Intacct and into iLeasePro. Please refer to Account Setting - Setting up Dimensions / Cost Centers

Notes
To add annotations/notes to support the information entered, click on the notepad icon shown above. A new page will be displayed where you can add personalized notes that you would like to make to help you or others in your team identify key dates/reasons, etc for the lease information entered.
Setting up the Accounts Payment feature
From the Settings Tab in the Admin Account Settings page, the iLeasePro account administrator must Opt-In by selecting the checkbox for Payments Integration (shown below) to begin using the Portfolio Payment feature. When the Payments Integration checkbox has been selected, the Select Lessor Source will default to Vendor Dimension.
An error message will be displayed if the Vendor Dimensions have not been downloaded.
If this message is displayed you will need to resolve this error. Click on the Dimension tab and click on Load Intacct Dimensions then validate that the Vendor Dimensions have been downloaded as shown below.
The Contacts defined will remain available and linked to the lease but will be cleared as lessor's from the lease and no longer be available to be selected as the lessor.
Change Required: Lease Changes required for Payments
The Lessor value for each lease will be lost upon opting into use the Account Payments feature. The upload to Intacct requires a valid Vendor Code and a change has been made in iLeasePro that will pull the Vendor information from the Intacct Vendor Dimension rather than the Contact tables.
Modifying the Lease Payments Feature
The Lease Payments page has been changed to allow you to set the Vendor Payment detail. You will need to go into the Lease Payments page as shown below and update these fields for each lease.
Recommendation: It is recommended to set the Lease Payment Action to Draft, which will hold the payment from being posted in Intacct and require manual release to post, until you are comfortable with directly posting from iLeasePro upload.
Using the Portfolio Payments Feature
The iLeasePro Portfolio Payments feature is an account level feature that offers the ability to view, export (or upload if you are a customer of a participating accounting partner) the monthly payment details for the portfolio of leases or for the leases in a specific subsidiary/operating entity.
Select the Operating Entity/Subsidiary, the Year and the Month of the payments you are interested in viewing.
If you are interested in including the scheduled Variable Payments, click the Include Variable Payments checkbox.
To see additional details of each payment, rollover the Payment Date of the payment you are interested in (as shown below).
You can click on the lease title to view the detail information of each lease. Rollover the lease title with your cursor and select the lease title. This will hyperlink you to the lease detail.
Add a payment note to any payment to provide additional information that will be stored in the Intacct AP Bill Description field.
To exclude any payments from the upload or export action, click on the checkbox under Exclude to the left of the lease that you are interested in excluding
Uploading Monthly Payments to Sage Intacct
To upload the selected Payments to Sage Intacct, click on the "Upload Payment to Intacct" button. A message will appear indicating that the upload is in process at the top of the page and above the Upload button.
If an error occurs during the upload, the Sage Intacct error message will be displayed as shown below.
If the upload is successful, the "Upload Successful" message will be displayed as shown below.
The successful upload of Payments data into Intacct will be displayed in the Accounts Payable>Bills feature
Payments Export
To export the selected Payments, click on the "Export Payment" button. A message will appear indicating that the export is in process above the Export button. Once the export is completed, a .csv file will be opened with the payment data for the Subsidiary, Year and Month selected on your screen or in your downloaded folder on your computer.

Payments Upload Activity Report
The Portfolio Payment Upload Activity Report is available to report all payment upload activity. Select Reports, then Portfolio Payment Upload Activity Report.
When the report is displayed, you can select from the filters to specify the upload activity details you are interested in. Click on Run Report and the activity data will be displayed based on the filter details provided.
