Importing Rent & Rent Steps
The Rent Payments & Rent Escalations data import process offers you the ability to import all of the rent payments for each lease. At least one rent detail row is required for each lease in your portfolio. Multiple rent steps or escalations can be added for each lease, if appropriate.

Rent Step Data Entry Requirements
Special Note on Free Rent: 1) If a lease has a lessor allowance or Free Rent that has been specified the Start Date of the Base Rent must take into account those months of Free Rent that has been specified. The Free Rent was entered on the Leases import as shown below.
Lease import template
The lease commencement date is 2021-10-01 and Free Rent of 2 months. When adding this lease to the rent step template, the Base Rent start date must be 2021-12-01 to compensate for the 2 months of Free Rent
Rent & Rent Steps import template
Special Note on Rent Steps: 1) When adding the initial Base Rent Payments be sure to select Base Rent for the Row Type. When adding escalations/rent steps select Rent Step. 2) If a lease does not have any escalations, the Start and End dates must equal the Commencement Date and Expiration Date respectively. 3) If a lease has escalations/rent steps the End Date of the last rent step must equal the expiration date of the lease.
As an example, the Tampa Office lease commences on 2022-09-01 and Expires on 2-29-2028. The first entry is the Base Rent with a term from 2022-09-01 through 2024-08-31. The first rent step increase starts on 2024-09-01 and ends on 2026-08-31 and the final rent step increase starts on 2026-09-01 and ends on 2028-02-29 (the expiration date of the lease).
We will not go into the step by step instructions in this tutorial. All imports are generally the same process which you can find in the step by step guidance on adding your lease data.
Importing Lease Rent & Rent Steps data
Click on the Rent & Rent Steps icon on the Dashboard to begin the import process
Click on the Export Template to create an "iLeasePro Smart Template" for the Rent & Rent Steps Import to enter the properties within your lease portfolio. We call these templates "Smart" because they pre-populated with key iLeasePro data that you can select in a dropdown.
The Rent & Rent Steps detail import template will be downloaded onto your desktop. Open the template and add your Rent & Rent Steps detail data to the template. Note: You cannot simply cut and paste from one worksheet into the iLeasePro Smart Template because this will over write the dropdown selections. The dropdown selectors provide iLeasePro with the key index value of the selected field. But any field value that does not have a dropdown can be cut/pasted from another worksheet.
Once the download is completed, save the completed template to your desktop. Record the location so that you can easily upload the file in the next step.
Click on the Import icon and either drag the import template file onto the page or select "Browse for file" to upload the excel template
Once the template is imported, the data will be displayed for verification. Review all pages and fix any errors that may have been found. Click "Save" to start the import process.
Click "Yes" to continue or "Cancel" to stop the import process.
The import process will begin and you when completed the import data will be updated with the actual number of rows that have been imported.
To verify the imported Lease data
In iLeasePro, go to the sidebar menu link for Leases and select a lease to review
Using the Jump To menu, select Rent
The imported rent payment and escalations data will be displayed on the Rent tab
