Monitoring a Lease Critical Date & Setup an Email Notification
There are two ways to set up a Lease Critical Date to be monitored and begin receiving notifications of the upcoming date for a lease.
1) Selecting the "Set as critical date" checkbox for any defined date in iLeasePro
2) Setup an Option with Critical Date Notification for any other date you are interested in monitoring.
The iLeasePro defined lease critical dates are;
- Inception Date
- Commencement Date
- Expiration Date
- Early Termination Date
You can begin monitoring these dates by selecting the “Set as Critical Date” checkbox that is associated with any date, as shown below.
For any other date that you would like to monitor and be notified of, you would set the date up as an Option. If there is a need to set a specific notification date for the Option, the user can specify the Notification Date by selecting a valid date that is before the Option Due Date as shown below. Additional details can be found on the Entering and Maintaining Clauses and Options Help page
Scheduling Email Notifications
Each User will be required to “Opt In” and schedule the notifications to take advantage of the Email Notification feature.
To begin, the user will click on the User Settings link on the Lease Landing page as shown below;
On the User Settings page, the user will click on the Receive Email Notifications checkbox as shown below;
When the Receive Email Notifications checkbox is selected additional fields will be displayed to refine the user preferences of receipt. The user has two options to specify how frequent to receive the email notifications, either “Daily” or “Weekly”.
Scheduling Daily Email Notifications
If the user is interested in receiving daily email notifications of the critical dates that will be coming due, the user should select the Notification Frequency of “Daily” as shown below.
The user can enter in the number days out, for any lease that is allowed for the user, to be included in the email notification. For example, if the user would like to see all critical date notifications for leases with a critical date specified that will be coming due within the next 90 days, the number 90 should be entered in the Num Days Critical Dates Coming Due field.
Note if a value of zero is entered in the Num Days Critical Dates Coming Due field, all upcoming critical dates for all leases the user is allowed to view, will be included in the email notification.
The Send Email Notification to field value is the user’s login email address.
The user can also select whether they would be interested in receiving the information in HTML format or in textual format. HTML is the default.
Scheduling Weekly Email Notifications
If the user is interested in receiving weekly email notifications of the critical dates that will be coming due, the user should select the Notification Frequency of “Weekly” as shown below.
The user should select the day of the week that the email notification process should run from the Day in Week dropdown list, as shown above.
The user can enter the number of days out, for any lease that is allowed for the user, to be included in the email notification.
The Send Email Notification field value is the user’s login email address.
The user can also select whether they would be interested in receiving the information in HTML format or in textual format. HTML is the default.
