Intacct Users: Setting Up and Implementing iLeasePro
Welcome to iLeasePro. Please find below the steps required to successfully setup iLeasePro for your organization and the integration with Sage Intacct.
Note: You must be an Administrator to perform this setup
iLeasePro Implementation & Setup
When you login to the Lease ListView landing page, shown below, you will see the link to the Admin Account Settings site. Click on Admin.
Note: The features provided on iLeasePro may differ depending on the Plan your organization has subscribed to.
There are four basic steps to follow to understanding the features and begin using iLeasePro; Account Settings, Linking to Sage Intacct, Lease Details and Portfolio Features.
You will need to start with the implementation steps outlined below under Account Settings. Once Account Setting steps are completed, you can start entering your lease details.
Account Settings
The Account Setting pages have been designed to help you setup iLeasePro. You should review each tab in the Account Settings to make sure iLeasePro is setup according to your organization's processes and procedures.
iLeasePro has several dropdown list fields with labels throughout the solution. You can manage these dropdown labels on the Application Values page. iLeasePro starts you off with general industry labels, but these are customizable to meet the needs of your organization.
Preparing for the Administrative Setup
In order to have a successful and easy setup, we recommend that you prepare data that you help you take advantage of the features of iLeasePro.
- List of the Banks that you may have lines of credit with or want to link to a lease
- List of the Contact Roles of all of the contacts pertaining to the lease (i.e. Property Manager)
- List of Document Types of all of the electronic documents that you plan on uploading (i.e. Original Lease Document)
- List of the Types of Options and Clauses you are interested in keeping track of (i.e. Renewals)
- List of the Types of Real Estate and Equipment leases you may have (i.e. Real Estate - NNN or Equipment - Copiers)
- List of the Types of Lessor Operating Charges (i.e. Electrical, Signage)
- List of the Property Types within your lease portfolio (i.e. Retail, Office)
- List of your company's Operating Entities / Subsidiaries
- List of Accounting Cost Centers; Location, Department, etc
- List of General Ledger Accounts by Subsidiary or Operating Entity
- Decide how you would like to group your leases in the portfolio. Geographic, LeaseType, etc
- Your Sage Intacct access credentials
Application Values
The Application Values feature under Accounting Settings provides you the ability to customize any drop down list in iLeasePro. The dropdown lists are;
- Banks
- Contact Types
- Document Types
- Lease Clause
- Lease Type - Real Estate
- Lease Type - Equipment
- Operating Charges
- Option Types
- Property Types

Setting Up Users
The Users feature under Accounting Settings provides you the ability to manage your users. There are two types of users; Admin and User. Admin has full access to all features and data within your iLeasePro account. Setting up a user as "User" allows you to allow or restrict access to certain features which will restrict access to specific data.

Adding Subsidiaries / Operating Entities
The Subsidiary feature under Accounting Settings provides you the ability to add and manage your Subsidiaries or Operating Entities that the leases are accounted under. Read the Help Guide for more information: Account Setting - Setting Up Operating Entities/Subsidiaries
Lease Accounting
The Lease Accounting under Accounting Settings provides you the ability to set up account level defaults for lease classification and relevant borrowing rate. If you are a customer of one of our integration accounting software partners, this is where you will provide the details in order to connect to the integrated accounting software. And the Lease Accounting feature provides you to enter in the General Ledger Accounts for each Subsidiary in order to create journal entries with the General ledger Accounts that will synchronize with your accounting system. Connecting to Sage Intacct
iLeasePro and Sage Intacct are connected via webservices. In order to take advantage of this integration, you will need to follow these instructions: iLeasePro - Sage Intacct Implementation and Setup Guide
Dimensions
The Dimensions feature under Accounting Settings provides you the ability to download the Dimensions, like Locations and Departments, that you will link to your leases and included in your journal entries. In iLeasePro, we use the terms Cost Centers and Dimensions to mean the same. There are seven Dimensions that you can use; Location, Department, Employee, Project, Customer, Vendor, Item, and Class. Portfolio
The Portfolio feature under Accounting Settings provides you the ability to create Groups and Sub Groups for your leases. If created, your leases will be organized in the Groups and Sub Groups you define and displayed on the Lease ListView landing page. You can leverage the lease Groups and Sub Groups with the Accounting and Reporting features. Read the Help Guide for more information: Account Setting - Managing Lease Portfolio Setup
Settings
The Settings feature under Accounting Settings provides you the ability to turn on or turn off certain features for the account as well as captures your company details. Read the Help Guide for more information: Account Settings - iLeasePro Settings
Lease Details
The Lease Detail pages have been designed to help you capture, manage and monitor all of the critical information associated with your leases. You should review each tab in the Leases Detail to make sure you take full advantage of all that iLeasePro has to offer to help you better manage and account for your lease portfolio.
Preparing for the Lease Detail Setup
In order to have a successful and easy setup, we recommend that you prepare data that you help you take advantage of the features of iLeasePro.
- List of the Contacts for all of the leases
- List of the electronic documents that you plan on uploading for each lease
- List of the Options and Clauses you are interested in keeping track of. Include Option Dates if interested in monitoring these.
- List of the different types of real estate and equipment leases you may have (i.e. Real Estate - NNN or Equipment - Copiers)
- List of all the lessor operating charges (i.e. Electrical, Signage)
- List of all the Property Types within your lease portfolio (i.e. Retail, Office)
- List of all the company Operating Entities / Subsidiaries
- List of Dimensions; Location, Department, etc for each lease and general ledger account
